Since September, WORKOFO has been changing and filling in the usual visual of the work schedule.
The change is due to users' request to see the visualisation of the schedule at different levels.
Also, due to the continuously added functionalities in WORKOFO, there is a need to revise the location of the buttons, as the current design of the system has reached a point where it is difficult to add new functionalities.
What will change?
- Top bar - retains the same functionality, but the most commonly used ones are moved to the top (reducing the need to click additional buttons)
- Additional versions of the graph (visualisations):
(a) One-day view
b) Weekly view
c) Monthly view
- Shift coloring according to the configuration at the organisation level
- Assignment of tasks in shifts
- New shift creation window with the possibility to choose a shift template (if the organisation uses shift templates) and the possibility to edit shift activities
Changes implemented:
2024-10-11 salary component and reports
1) New functionality added - staff salaries. In WORKOFO, it is possible to fill in an employee's salary and to track the cost of the employee's salary in the report, based on the scheduled hours. The salary components can be combined with shift activities. For example, for activity X the hourly wage of an employee is 10 €/hour and for activity Y the hourly wage of an employee is 12 €/hour. The system will calculate the information in the report according to the scheduled hours.
The functionality is activated by request of the organization. The name of the components are based on the organization logic and request.
2) For a loaned shift, it is possible to edit the additional hours settings from the unit where the employee was loaned.
2024-10-07 System update: implementation of the shift swapping process on the WEB page and minor fixes.
1) Added a new request for employees - Approval/cancellation of shift swaps. Employees can now approve/reject shift swaps also on the WEB page.
2) Updated the design of the request for the shift swap request to the manager. The design has been updated to the new request form for employees while maintaining the manager functionalities.
3) Fixed a bug with the timetable search under timetable selection.
4) Fixed a bug related to loading the list of employees in a new timetable window (without a button to load more).
2024-10-02 System update: addition of a new timetable view (version I), addition of shift swapping and other minor changes
1) In the timetable bar (Month), you can now select a separate timetable view - Day. Please note that if you select the Day view, it is currently not possible to edit the timesheet information. This is a first version which will be added with the next updates. Also, new technology is being used to display the daily version of the timetable (which will be migrated to other windows) to speed up the speed of the system.

2) Updated design of the notifications, help field and schedule/subsite options. All functionalities work as usual, only the design changes.
3) When using Quick Search, you must press the "Enter" button on your keyboard to make the system search by the text you enter.
4) Employees can initiate a shift swap using the WEB page. The process works in the same way as in the mobile app. With the next change, employees will also be able to approve/cancel shift swap requests on the WEB page.

The numbers marked in the new and old versions correspond to the same functionality (only in the new version, the functionality has been moved to a different location in the window or redesigned).
*The numbers below are based on a screenshot of the top bar of the new graph:
1. Choosing what to show in the timetable (Shifts / Availability only). The new version foresees additional layers in the timetable (tasks, requests only, absences only, etc.).
2. The month is now displayed and the selection of the next month. The month can be changed via the arrows or by clicking on the selected month.
3. Selection of the version of the timetable. There will be a total of three versions of the schedule (Month / Week / Day).
4. System hints depending on the selected version of the work schedule.
5. The version of the timetable is now displayed (in the old version of the schedule this information was displayed at the bottom right).
6. Add the new employee to the schedule.
7. Work schedule filters.
8. Optimisation of the schedule (functionality duplicated in several places).
9. Schedule settings (preference deadline setting/timetable information/Excel exports) - this part will be changed in the future.
10. Copying shifts or preferences - depending on what is selected in the first point.
11. Schedule statistics.
