When optimising a work schedule, the system checks between 40 and 80 million different versions of the schedule and provides the best one (based on the workload coverage, business rules, preferences)



Optimisation of the system takes 1 to 3 hours (depending on the number of employees and the complexity of the business rules). Having ordered a work schedule optimisation, you do not need to be logged in to the system


Before optimizing a work schedule, make sure that:

- workload forecasts have been prepared

- all business rules have been updated and are valid

- the list of employees, settings, and preferences have been updated for the planned period


Steps to be taken to order work schedule optimization:


1. Choose the group which requires optimization of a work schedule

2. Choose the month

3. Order work schedule optimisation (2 methods)

Method I 

a) Click optimise

Method II

a) Click the schedule version name

b) Click the icon nearby (on the left - Optimise the schedule)


The system will open window in the right screen part. What should be done?


1 .Select date range for which you want create the schedule. The longest possible - one month / The shortest - one day. You can use automatic filling buttons like (Today, This week, This month).

2. Select employee for which you want create the schedule. By default all employees in the schedule are selected.

3. Press Continue


Change only activities - this feature you can use only when you already have schedule in the system. Opimizing this way system would keep same Start / End time of shifts but would change assigned activities to the shift.

4. If before you have created the shift in the schedule and pinned it before the optimization system would show the list of pinned shifts. Pinned shifts will stay the same in the optimized schedule version. If you want unpin thoose shift remove the check box near the employee name.

5. If all information are correct press Start.


The system will also inform about the ongoing optimisation of the schedule:

- Text will be written above the schedule while optimisation is in progress

- Having clicked on the schedule version name, an additional schedule version (Optimised draft/ Optimised actual) will be displayed
